A busy trade business can have good people and still have a few processes worth tightening up. The place to start is what your team sees day to day, rather than an assumption that the business is losing money.
Where do new inquiries go?
Walk through a phone call, website form and after-hours message. Is each one recorded somewhere useful? Does someone own the next step? An acknowledgement or callback reminder may help, provided it fits how the office works.
What does the office need from the field?
Photos, measurements and a short explanation may be enough for some quotes. Other jobs need a proper site review. Agree what information is required before choosing a tool to collect it.
Voice notes or templates could reduce repeated typing, but someone needs to review the scope, pricing and technical details before anything reaches a customer.
Which numbers would make decisions easier?
Open quotes, actual job costs and unpaid invoices are possible starting points. Choose a few measures you can trust and act on. A dashboard is only useful when the underlying records are kept up to date.
Where is information being entered twice?
Trace one job through the tools you already use. If staff copy the same details between systems, check whether an existing integration or a simpler process could help. Test duplicates, missing information and failed transfers before relying on it.

Ask your office and crew which repeated task creates the most chasing around. Record what happens now, try one change and review whether it makes the work easier. What would your team nominate first?
